Club Meeting Role Responsibilities and Protocol

 

 

q      During the dinner break, the schedule for the following week’s meeting roles will be announced as a reminder.  At this point if you are unable to attend, a replacement is much easier to find at the meeting, so speak up.

 

q      The Toastmaster should email and telephone for meeting role confirmations.  Please confirm your participation with the Toastmaster by Thursday evening.

 

q      Sunday is the deadline to submit your speech title and introduction to the Toastmaster.

 

q      The Toastmaster should contact everyone having a meeting role and ensure they understand their roles and time allotment (especially newer members) and coach them if not. You can also contact your mentor for coaching.

 

q      The General Evaluator is responsible for contacting and preparing the evaluation team of Evaluators.  The GE will pair evaluators and speakers, and inform the Toastmaster who is preparing the agenda. We suggest that the GE and TM work closely to plan the meeting, as the TM needs to confirm the speakers in order for the GE to assign their evaluator.

 

q      As a member of Chamber Club 540 we ask that you find a replacement as soon as you know you will be absent. Remember it is your obligation to find a substitute for your role.   The Toastmaster for that evening should be contacted with the substitute name and role.   The VP of Education always offers the opportunity in advance for you to request a (DNS) do not schedule for any given meeting day.  Your timely reply to these schedule requests is most helpful in preparing an advanced schedule of meeting roles.
